Car rental reservation system

A car rental reservation system that books, charges and checks the renter in one flow

Renters see what's actually free, book on your own site and pay up front. The deposit, the ID check and your signed agreement happen in the same checkout, and every reservation, Turo trips included, lands on one calendar.

Why it matters

A reservation isn't real until it's paid

An inquiry form, a text thread or a Facebook message isn't a reservation system. It's a to-do list. Every "is the Tahoe free Saturday?" means checking a calendar, quoting a price, sending a payment link and chasing a license photo, and some of those renters book somewhere else before you reply.

A real reservation system does that work at the moment the renter is ready to book.

  • Real availability. Renters only see dates the vehicle is actually free, including dates blocked by Turo trips.
  • Paid at booking. The rental total is charged in checkout, so no-shows cost the renter, not you.
  • Deposit held, not charged. A card hold you release or capture after the trip.
  • Renter checked. ID and insurance verification, plus your agreement signed on the Standard plan.

How it works

From your fleet to booked reservations in an afternoon

The booking site is hosted for you, so there's nothing to install or code.

1

Add your vehicles

Photos, daily or hourly rates, deposits, extras and rules for each listing: a daily driver, an exotic, a van, a trailer or a boat.

2

Renters book on your site

They pick dates, see the full price, verify their ID, sign your agreement (Standard plan) and pay. Share the link anywhere, or connect your own domain.

3

Run it from one calendar

Every reservation, direct or Turo, sits on the same timeline with pickups, returns and turnarounds, on the web or the Android app.

Reservation management

Every reservation in one place

Open any booking to see the renter, the payment, the deposit hold, the ID check and the signed agreement together. Change dates or add charges after the trip, and the record stays complete.

Running Turo too? Its trips import onto the same calendar and block those dates on your booking site, so the reservation system never sells a car that's already out. Our guide to starting a car rental business without quitting Turo covers the setup.

Everything a reservation needs, built in

Payments, deposits and ID checks are on every plan, not add-ons.

Booking calendar

Every vehicle as a row and every reservation as a bar, with pickups, returns and turnarounds in one view.

Payments at checkout

Charge online through Stripe or Square, or record cash, check, Venmo and other payments against the booking.

Security deposits

Hold the deposit on the renter's card, then release it or capture what's owed after the trip.

ID verification

Renters verify their license and a live selfie through Stripe Identity in checkout.

E-signed agreements

Your rental terms signed inside checkout and saved on the booking. From the Standard plan.

Turo calendar sync

Turo trips import onto the same calendar and block those dates on your storefront.

Your own domain

Run the reservation site on your domain with Fleetwire hidden. On the Premium plan.

Reservation system questions

What is a car rental reservation system?

Software that lets renters see which vehicles are free on their dates, book one and pay for it online, while the rental company manages every reservation in one place. A complete one also handles the security deposit, the renter's ID and the rental agreement, so a booking is ready to hand over by pickup.

What's the best car rental reservation system for a small business?

One that matches how you rent. For an independent fleet of 1 to 150 vehicles, look for a booking site renters can use without calling you, deposits held on a card, renter ID checks, signed agreements, and a calendar that includes your Turo trips. Avoid setup fees and per-booking commissions. Our comparisons lay out how the main options differ.

Can renters book online 24/7?

Yes. Your Fleetwire booking site shows live availability, so renters pick dates, see the full price and book at any hour. You get a notification and the reservation lands on your calendar.

Does it work if I also rent on Turo?

Yes. Connect Turo and its trips import onto the same calendar and block those dates on your booking site, so a direct renter can't book a car that's out on a Turo trip. Turo doesn't accept bookings from outside software, so block direct trips on Turo yourself.

Is it only for cars?

No. The same reservation system handles trucks, vans, exotics, RVs, trailers, golf carts, boats and equipment, with hourly or daily rates.

How much does it cost?

Plans start at $24 a month billed yearly ($34 monthly) for up to 5 vehicles, with no setup fee and no cut of your bookings. Every plan includes payments, deposits and ID checks. See pricing.
